Indexed Files
The list is opened by the Indexed files button on the search page or via the link from the counter in the index coverage block — in this case, the filter is already applied. Here you can see each file that the indexer has processed and its status.
Filters
- Truncated — only files whose text has been truncated by the character limit;
- Text is questionable — only files whose text has been extracted with doubts;
- Status — processing status: Indexed, In queue, Extraction error, No extraction service, Format not supported, File exceeds allowed size, Archive rejected during extraction, Document is password protected, No text layer in document, File missing in storage, Content does not match extension, File is corrupted or empty;
- In search — Searchable or Excluded from search;
- Format — file format;
- Section — section to which the file is attached.
Filters are saved in the page address, so you can share a link to the filtered list.
Table
| Column | What it shows |
|---|---|
| Name | document title or file name in storage |
| Format | file format |
| Status | processing status; for questionable text — a note |
| Language | document language, and below it — dictionary, confidence of determination, and source: determined automatically or selected manually |
| Characters | number of characters in the index; for truncated files — how many were indexed out of how many |
| Where used | links to records to which the file is attached |
| Actions | exclusion from search and recognition of scan |
The list is paginated with 20 files per page, and below the table is the number of files found.
File Actions
Actions are available to administrators with permission to manage the file index.
- Language — select the language in the Language column if it was determined incorrectly: the list includes codes
ru,en,de,fr,uk,kk. The file will be re-indexed with the new language. - Exclude from search — check the checkbox in the Actions column. The file will remain in the list but will no longer be searchable; uncheck it to return it.
- Recognize — the button appears for files with the status No text layer in document (scan without text). It places the file in the recognition queue; after clicking, a note appears instead of the button indicating that recognition has been requested. If recognition is unavailable for the project, the button is inactive.
Returning a file to search
In the current version, unchecking "Exclude from search" does not return the file to the results: it remains outside of search. To return the file, initiate a re-indexing with the slice Entire corpus.
