File Content Search

The search page opens from the File Search item in the sidebar menu. Above the search bar, there are two buttons:

  • Settings — opens the settings; visible only to administrators with file index management rights;
  • Indexed files — opens the list of indexed files.

If the text extraction service is unavailable or file processing is turned off, a warning is displayed under the buttons. You can still search with processing turned off — using the already built index.

Query​

Enter a word or phrase from the document in the Word or phrase from the document field. The search starts automatically as soon as the query is at least two characters long.

The Query Language list specifies the query language. By default, the language is determined automatically based on the script of the query; below the field, you can see which languages were searched and how they were selected. The list only includes languages that are already present among the indexed files, along with the number of files for each — if the index is empty, there is nothing to choose from.

If more than three languages are suitable based on the script of the query (which can happen with Latin scripts), a warning "More than three candidate languages — please select the language manually" is displayed below the field — select a language from the Query Language list.

Filters​

  • Only truncated — only files whose text is truncated by the character limit;
  • Section — sections to which files are attached;
  • Format — file formats;
  • Locale — language versions of records.

The Reset all button resets the query, selected language, and all filters; it is inactive until any of these are set.

Results​

Above the results, the number of found files is displayed. Each result is a file card:

  • document title, and if it is absent — record title and file name in storage (the original name of the uploaded file is not saved);
  • icons: format, document language, tags "truncated", "no stemming" (No stemming — there is no full-text search configuration for the document language, words are searched only in their exact form) and "text is questionable" — an explanation is displayed above the fragment of questionable text;
  • text fragment with highlighted query words and page number of the document;
  • links to records to which the file is attached — clicking the link opens the record for editing.

The results are paginated with 10 files per page. You can scroll through to the 200th result — beyond that, refine your query or filters.

tip

If the document is not found, open the list of indexed files: it shows whether the file has been processed, whether it has been excluded from the search, and whether its text has been truncated.
