File Search

The File Search section searches the text of documents uploaded to the project: PDF, DOCX, and other files from the file attributes of products, pages, blocks, and other records. You can find not only a file by name but also a phrase within it — with highlighting of the found location and a link to the record to which the file is attached.

The section consists of three pages:

  • Search — query string, filters, and results;
  • Indexed Files — which files have been indexed, their status, manual language editing, and exclusion from search;
  • Settings — what and how to process, index coverage, and reindexing.

File search is not related to the general search in the application header: it has its own page, its own settings, and its own permissions.

Access to the Section​

For the File Search item to appear in the sidebar menu, the administrator needs to select the File search module from the list of available modules. Permissions are configured in the administrator card, in a separate File Search block — more details in the section “Editing Administrator”.

To change the settings themselves, additional permission to modify general settings is required. Without it, the settings page is only available for viewing.

If an administrator has the module but lacks search permission, instead of the search, the section shows the message “This module is not available for your subscription plan.” The tariff is irrelevant here: grant the administrator permission to search by file content.

How a File Gets Indexed​

  1. Enable file content processing on the settings page. By default, processing is turned off, and while it is off, new files do not get indexed.
  2. Upload a file to the file attribute of a record in one of the sections selected in the settings: products, pages, blocks, slides, templates, discounts, forms, events, user groups, users, or administrators. The file format must be in the list of formats for extraction.
  3. The file is processed in the background. The processing progress is visible in the index coverage block, and the file itself is in the list of indexed files.

In the video, a File type attribute is added to the product attributes, and a PDF document is uploaded to it — after processing, its text can be found through search.

If processing is enabled after files have already been uploaded, process them through reindexing.

note

Files from form submissions and orders do not get indexed: they are stored together with the submission or order, not in the record attribute.

When a record is deleted, its files also disappear from the search.
